Count physical stock and approve differences

Save counts in batches, complete the count and review differences before approval posts adjustments.

Before you begin

Choose one location and agree how stock movement will be controlled during counting. Approval requires administrator access.

Step by step

  1. Open Stock counts and start a count for the correct location, or resume its saved count.
  2. Search or scan each product and enter the physically observed quantity. Zero means checked and none found; a blank means not yet counted.
  3. Save each batch or page before moving on. Use recorded and not-recorded filters to avoid missing items.
  4. Complete the count to lock recorded quantities. Review all difference pages and investigate stale snapshots or quantities needing a recount.
  5. An administrator reviews and approves the count to post adjustments. Reopen the approved record and its stock/accounting links.

Check the result

Saving or completing a count alone must not be treated as stock posting; check the approval state and linked movements.

Common question

Why is a recount requested?

Stock may have changed since the snapshot. Review the displayed stale-count information before approving differences.
